How Johnathan Academy collects, uses, and protects your personal information.
Johnathan Academy collects and handles personal information in accordance with British Columbia's Personal Information Protection Act (PIPA). This page explains what we collect, why, and what choices you have.
What We Collect
From applicants and enrolled students — legal name as it appears on government identification, preferred name, date of birth, contact details for the student and for a parent or guardian, prior school records, and immigration or residency status where it affects enrolment.
From AP exam candidates — including candidates who attend other schools — legal name, government-issued photo identification number, email addresses, phone numbers, the school currently attended, and the exams registered for. The College Board requires that the name on our roster match the identification presented on exam day, which is why we ask for it.
From website visitors — basic server logs (IP address, browser type, pages requested) used to keep the site running and secure. We do not use advertising or cross-site tracking cookies.
From payments — our payment provider processes card and mobile-wallet transactions. We receive a transaction reference and the amount; we do not receive or store full card numbers.
Why We Collect It
- To assess applications and administer enrolment
- To register candidates with the College Board and issue Join Codes
- To contact students and families about exams, schedules, fees, and school operations
- To meet reporting obligations to the BC Ministry of Education and the College Board
- To keep financial records as required by law
Who We Share It With
We share personal information only where it is necessary for the purposes above: with the College Board for exam registration and score reporting, with the BC Ministry of Education for the reporting required of certified independent schools, with our payment provider for processing fees, and with our email provider for delivering notices. We do not sell personal information, and we do not share it for marketing purposes.
How Long We Keep It
Student records are retained for the period required of certified independent schools in British Columbia. Exam registration records are retained for the current and preceding exam cycles. Payment records are retained as required by tax and accounting rules. Records that are no longer required are securely destroyed.
Keeping It Secure
Access to student records is limited to staff who need it for their work. Systems holding personal information sit behind authenticated access, data is transmitted over encrypted connections, and backups are held on school-controlled infrastructure.
Your Choices
You may ask to see the personal information we hold about you, ask us to correct it if it is inaccurate, or ask questions about how it is handled. Write to the school office and we will respond within the time PIPA allows.
Changes
If this policy changes materially, we will post the updated version here and revise the date above.
